On-Campus and U.S. Mail
On-Campus Mail Guidelines
- Campus Mail should be placed in the appropriate mailbox located in SSB 204
- Clearly mark the delivery mail code on the front of the envelope.
- University mail codes may be found in the UCSD phone directory.
- The Ethnic Studies mail code is 0522.
- The mail is delivered and picked up twice a day, once in the morning and again in the afternoon. There is no mail pick-up or delivery on weekends, scheduled holidays, or other days when the department's administrative offices are officially closed.
- Larger incoming delivery packages are usually stored at the bottom of the faculty mailboxes.
US Postal Services (USPS) Mail Guidelines
- All mail for the US postal service should be placed in the outgoing mail bin located in SSB 204.
- Clearly mark your ETHN index number on the upper right side of the envelope. Your index number will be charged the appropriate postage. If you fail to include an index number on outgoing mail, it will not be delivered and will be returned to the department.
- Place your name and the department mail code (0522) in the return mailing address.
- The mail is delivered and picked up twice a day, once in the morning and again in the afternoon.
- There is no mail pick-up or delivery on weekends, scheduled holidays, or other days when the department's administrative offices are officially closed.
- Larger incoming delivery packages are usually stored at the bottom of the faculty mailboxes.
- Please note that there is sometimes a delay between the time mail is picked up from the department and when it leaves campus for delivery. If you have time sensitive materials, it is recommended that you either place them in the one of the USPS drop boxes on campus, bring to the on-campus USPS post office (located in the Price Center). Since these materials go through no further processing before leaving campus, all materials mailed in the manner MUST contain proper postage. Index numbers are not sufficient.

All mail should be sent to this address (including packages). The only mail that should be sent to the University Trade Street address are packages ordered with a purchase order number.
Sending a package via Priority Mail
- Any package over 11 ounces is automatically sent Priority Mail.
- For packages under 11 ounces the sender may print in black marker "Priority Mail" above the mailing address.
- Priority Mail stickers are also available in the mail room to place on your package.
Federal Express (FedEx) Packages
Sending a Domestic Package Via Federal Express
- Get the shipping material from the mailroom, SSB 204.
- Use the letter size Fedex package (9"x12") for letters and smaller mailings (smaller paks will hold 8 oz or 30, 8.5x11 sheets)
- Larger Fedex mailing packages are also located in the mailroom.
- Complete a Fedex USA Airbill form (directions as follows):
- Section 1. Fill in current date, sender's name, contact phone number
- Section 2. Internal Billing Reference - Put your ETHN index/recharge number here for billing
- Section 3. Put recipient's name, address and phone number. It is important to include a complete mailing address. (Fedex will not deliver to PO Boxes or PO Zip Codes)
- Note: The Hold and Weekend Delivery dates should only be marked if you want to give special delivery instructions.
- Section 4a. Check the appropriate box for service delivery time (ie. priority, standard or 2-day)
- Section 4b. Only complete this section if your package is over 150lbs
- Section 5. Check the box that matches the packaging you are using
- Section 6. Special Handling - You must mark either NO or Yes here. Do not leave this section blank.
- Section 7. If you have included a ETHN index number in section 2 then check the Sender box. However, if someone else is paying for the mailing you must fill in their FedEx account number here.
- Mark the number 1 under total packages (unless you are using one form for several boxes). Leave the weight amount blank if you don't have it. You can declare the dollar value; however, usually this is left blank.
- Section 8. Only sign here if you want to have the package delivered without obtaining a signature.
- Place your mailing documents in the FedEx package.
- Keep the top "Sender's Copy" of the form for your records.
- Insert the airbill form in the plastic slip on the back of the letter package.
- If you are using a larger fedex package you must attach one of the plastic slips on the package. These slips are located with the mailing supplies.
- Seal up the envelope and check the box that applies to your type of delivery.
FedEx packages may be left in the mailroom for pick-up (they will be picked up with the next regular mail delivery), but for faster delivery you may bring the mailing package to a FedEx bin. The closest bin is located at the ground floor of SSB. The pick up time for this bin is 3:45pm, Monday-Friday only. You can also call Federal Express directly to arrange a special pick up (for large packages). 1-800-238-5355.
Sending an International Package Via Federal Express
- Get your shipping material from the mailroom, SSB 204.
- Use the letter size package (9"x12") for letters and smaller mailings.
- Larger fedex mailing packages are also located in the mailroom.
- Complete a Fedex International Air Waybill form (directions as follows):
- Fill in Date of Shipment.
- Section 1. Include phone number, sender's name and address.
- Section 2. Internal Billing Reference - Put your ETHN index/recharge number here for billing
- Section 3. (located on the right side of form) Put recipient's name, address and phone number. It is important to include a complete mailing address and correct phone number.
- Section B. Complete this only when Broker Selection Option is requested.
- Section 4. Check the appropriate box for service delivery time (ie. priority, standard or 2-day).
- Section 5. Check the box that matches the packaging you are using.
- Section 6. Check the box that matches your delivery needs. Usually number 2, "Delivery Weekday" is selected.
- Section 7. If you have included a ETHN index number in section 2 then check the "Bill Sender" box.
- Section 8. If you have included a ETHN index number in section 2 then check the "Bill Sender" box.
- Section 9. Mark one under total packages (unless you are using one form for several boxes). Leave the weight amount blank if you don't have it. Put USA for "Country of Manufacture". Customs Requires that a declared value is marked. Put $1.00 in the "Customs charges" boxes or NCV for "no cash value".
- For "Complete Description of Contents" the terms letters, papers and manuscripts are usually written.
- Section 10. The sender MUST sign here. This does not allow Fedex to deliver the package without a signature (as opposed to domestic deliveries).
- Place your mailing documents in the FedEx package.
- Keep the bottom, pink "Shipper Copy" of the form for your records.
- Insert the mail form in the plastic slip on the back of the letter package.
- If you are using a larger fedex package you must attach one of the plastic slips on the package. These slips are located with the mailing supplies.
- Seal up the envelope and check the box that applies to your type of delivery (FedEx International Services).

Go to the FedEx website, to track a shipment. You will need the FedEx shipping number on your copy of the delivery form to help you track the package.
